Privacy Notice
This notice explains how AYKEN German School processes personal data across this website and our services: the Free School Word Check, enquiries and messages, programme enquiries and consultations, bookings and payments, parent resources and downloads, and optional marketing emails.
1. Who is responsible
AYKEN German School
Inhaberin: Maria Grüner
Platz der Vereinten Nationen 11
10249 Berlin, Deutschland
E-Mail: team@aykengerman.com
Further provider information is available in the Impressum.
2. What we collect and why
Free School Word Check
When you request access we collect your email address, your child's first name, the selected grade, the answers submitted during the check, your consent choices and technical details of the visit (access link, timestamps, referring page and, where present, campaign parameters). We use this to create and email the Word Profile, to save your progress so you can return within seven days, and — only if you opt in — to send you practical guidance about academic German. The consent for receiving the result and the optional marketing consent are separate and unchecked by default.
Enquiries and messages
When you write to us — by email or through a form on this website — we collect your name, email address, the information you select about yourself (for example whether you are a parent, educator or partner), your preferred language, the subject and your message, including anything you choose to tell us about your child. We use this only to answer your enquiry.
Programme enquiries and consultations
When you ask about a programme or book a consultation, we collect your first name, email address, optional phone number, your federal state or city, your child's age and grade, the school type, the difficulties you select, your main concern, whether you agree to marketing contact, and the page or campaign you came from. We use this to prepare and answer your request.
Bookings and appointments
When you book a session (for example the Warum-Check or a clarity call) we collect your name, email address, your child's school stage or age, your preferred date and time, your timezone, your notes, your acceptance of our terms and the related booking and order references. We use this to schedule the session, send your confirmation and prepare for the conversation.
Payments
Payments are processed on a separate, secure checkout page operated by our payment provider (Base44 Payments, powered by Wix Payments), which collects the payment and billing details it needs. We receive the confirmation of your order together with your name, email address, the amount and an order reference. We do not receive or store your full card details.
Downloads, Parent Tools and guides
When you request a free or purchased download or a parent tool, we collect your email address and the material you requested, and we keep a download record (order reference, download count and expiry) so the personal link can be issued and its use limited. Files are stored in private storage and are delivered through time-limited links.
Optional marketing emails
We send news, guidance and programme information only where you have given explicit consent. Marketing consent is always a separate, unchecked box. You can withdraw it at any time by writing to us; withdrawal does not affect messages that are necessary to deliver a service you booked.
Website usage
We record aggregated usage events (for example that a page was opened or that a booking was started) to understand how the website is used and to improve it. These events are not used to build advertising profiles and we do not use advertising cookies or sell personal data.
3. Legal bases
We process your data on the following bases under the GDPR: to take steps at your request and to perform a contract with you (Art. 6(1)(b)); to pursue our legitimate interests in answering enquiries, operating and securing the website and improving our services (Art. 6(1)(f)); on your consent, which you may withdraw at any time (Art. 6(1)(a)); and to comply with legal obligations such as bookkeeping and tax law (Art. 6(1)(c)).
4. Who we share data with
We do not sell personal data. We share it only with service providers who process it on our behalf and on our instructions: our website and database platform (Base44), our payment provider (Base44 Payments, powered by Wix Payments), our email providers (the connected Google account used to send some messages, our transactional email provider for shop materials, and the email delivery service of our platform), and the providers of fonts and image hosting used to display this website.
Where a provider processes data outside the EU/EEA, the transfer is based on appropriate safeguards such as the EU Standard Contractual Clauses.
5. How long we keep data
Word Check access links and saved progress remain valid for seven days. Download links expire once their validity or download limit is reached. Booking and payment records are kept for as long as German commercial and tax law requires (generally up to ten years). Enquiries are kept only as long as needed to handle them. Marketing data is kept until you withdraw your consent.
6. Cookies and local storage
We use only the storage that is necessary for the website to work: your login session where you have one, and local storage that remembers your Word Check progress while you complete it. We do not set advertising or cross-site tracking cookies.
7. Your rights
You have the right to access your data, to have it corrected, to have it deleted, to restrict or object to its processing, and to receive it in a portable format. Where processing is based on consent, you may withdraw that consent at any time with effect for the future. To exercise any of these rights, write to team@aykengerman.com. You also have the right to complain to a supervisory authority; the authority responsible for us is the Berlin Commissioner for Data Protection and Freedom of Information (BlnBDI), Alt-Moabit 59–61, 10555 Berlin.
8. Children's data
Our services are requested and used by parents and guardians, who provide the information about their child. Please share only what is needed for the check or consultation, and do not send us school reports or other sensitive documents unless we ask for them and you have removed personal data that is not required.
9. Important note about the Word Check
The Invisible German Word Check is not a general language assessment or diagnosis. It is a short parent-child check of selected curriculum-relevant school words. Academic German includes many additional skills, including reading comprehension, written expression, grammar, subject-specific vocabulary and learning strategies.
10. Changes to this notice
We update this notice when our services or the way we process data change. The current version always applies to your use of this website.
